Conference Awards

The GRDC provides sponsorship assistance to organisations wishing to conduct a conference, workshop, seminar or field day that directly benefits the Australian grains industry. The aim is to develop the skills and capacity required to achieve grains industry and GRDC objectives. GRDC places a high priority on the dissemination and communication of knowledge gained from the experience offered by conference sponsorship.

The GRDC invites and assesses Conference Sponsorship Applications twice a year. The next two closing dates are:

Friday 28 August 2009 (for conferences between January 2010 and June 2010, and

Friday 26 February 2010 (for conferences between July 2010 and January 2011),

Applicants are required to use the GRDC’s Word 2000 Conference Sponsorship template. This form can be completed on any IBM compatible PC with Microsoft Word 2000 (or a later version) or any word processing software that can convert from Word 2000. If you require an alternate version, please contact the Contracts Coordinator at the GRDC on 02 6166 4500.

When complete, the GRDC will require ten (10) signed paper copies (A4 size, double sided, stapled) to be submitted which will then be distributed to each member of the conference sponsorship evaluation team. These should be addressed to:

An electronic copy is also required and should be emailed to (forms@grdc.com.au).

Both the hard copies and electronic copy must reach the GRDC by 5.00pm (AEST) on the closing date.

Applications will not be acknowledged upon receipt.

Applicants will be notified of the decision within six (6) weeks of the application closing date.

Guidelines for Conference Sponsorship Forms
The following form should only be used by organisations wishing to obtain sponsorship to conduct a conference, workshop, seminar or field day that directly benefits the Australian grains industry.

Candidates wishing to attend a conference should complete the Travel Award Application form.

All organisations or subcontractor(s) requesting funds from the GRDC must provide an ABN.

Selection Criteria
The main criteria in evaluating conference support applications include:
• Extent of likely benefit to the Australian grains industry
• Level of support from non-GRDC sponsors
• Level of past GRDC support
• Benefits offered to GRDC
• Degree of grain grower involvement
• Scope of proposed communication and implementation plan


Reporting Requirements
Within one (1) month following completion of the conference, successful applicants must provide the GRDC with:
• Four (4) signed copies of the Final Report. The format for this Final Report is available on the GRDC’s website - Conference Sponsorship Final Report;
• 1 electronic copy of the Final Report emailed to forms@grdc.com.au  (the subject of the email should include the associated GRDC reference number);
• Four (4) hard copies plus one (1) CD Rom copy of the conference proceedings; and
• Four (4) copies of all information and presentation materials associated with the conference.

Your organisation is also required to forward to the GRDC, as soon as possible (and, in any event, within 3 months) following the completion of the activities described in the application, a statement of expenditure of the funds certified to be true and correct by a representative of your organisation who is authorised to sign financial statements (the template for this statement can be downloaded from the GRDC’s website - Form C).

Failure to meet reporting requirements may impact on future funding opportunities provided by the GRDC.

Payment of GRDC Conference Sponsorship Funds
Successful applicants will receive 75% of the approved funding up front. The remaining 25% will only be paid once all reporting requirements have been met, including the submission and approval of a Final Report (within one (1) month of the conference completion date) and a Form C.
