Conference Awards

The GRDC provides sponsorship assistance to organisations wishing to conduct a conference, workshop, seminar or field day that directly benefits the Australian grains industry. The aim is to develop the skills and capacity required to achieve the objectives of the Australian grains industry and the GRDC. GRDC places a high priority on the dissemination and communication of knowledge gained from the experience offered by conference sponsorship.

The GRDC invites and assess Conference Applications twice a year. Application closing dates are the first Wednesday
of April and the last Wednesday of October in each calendar year.

APPLICATION GUIDELINES

APPLICATION CLOSING DATE

The GRDC invites and assess Conference Applications twice a year. The application closing date (regardless of the date the conference will be held) is the first Wednesday of April and the last Wednesday of October in each calendar year.

The closing dates for 2011-12 are: Wednesday 26 October 2011 and Wednesday 4 April 2012.

Applicants will be notified of the decision within six weeks of the application closing date.


SELECTION CRITERIA
The main criteria in evaluating conference support applications include:
• Extent of likely benefit to the Australian grains industry
• Level of support from non-GRDC sponsors
• Level of past GRDC support
• Benefits offered to GRDC
• Degree of grain grower involvement
• Scope of proposed communication and implementation plan

APPLYING
Organisations wishing to obtain sponsorship to conduct a conference, workshop, seminar or field day (that directly benefits the Australian grains industry) are required to complete the GRDC’s Conference Application Form* which is available from the GRDC website.

When completed, an electronic copy of the application and supporting documentation should be emailed to forms@grdc.com.au. The name of the emailed documents should incorporate the name of the organisation and conference.

In addition, the GRDC also requires a signed paper copy of the application to be submitted. This should be addressed to:

BOTH THE ELECTRONIC AND PAPER COPIES MUST REACH THE GRDC BY 5PM ON THE CLOSING DATE.
Please note: No late or Out of Session applications will be accepted.

* This form should only be used by organisations wishing to obtain sponsorship to conduct a conference, workshop, seminar or field day that directly benefits the Australian grains industry. Any candidates wishing to attend a conference should review the Industry Development Award and/or Travel Award criteria listed on the GRDC website.

REPORTING REQUIREMENTS
Within three months following completion of the conference*, successful applicants must provide the GRDC with:

1. A copy of the Final Report (both in electronic and paper copy format) which is available from the GRDC website.
All electronic versions of Final Reports should be emailed and should include the associated GRDC reference number in the subject of the email.

As part of the Final Report, orgnaisations will be required to submit a Form C. The form is a statement of expenditure of the funds certified to be true and correct by a representative of your organisation who is authorised to sign financial statements (the template for this statement can be downloaded from the GRDC’s website.

2. A copy of the conference proceedings (both in electronic and paper copy format); and

3. A copy of all information and presentation materials associated with the conference.

Failure to meet reporting requirements may impact on future funding opportunities provided by the GRDC.

PAYMENT OF CONFERENCE SUPPORT FUNDS
Successful applicants will receive 75% of the approved funding up front upon return of the signed contract. The remaining 25% will only be paid once all reporting requirements have been met and approved by the GRDC, including the submission and approval of a Final Report and Form C which must be submitted within three months of the conference completion date.

*Please note: This will only apply to any new applcations/contracts approved from the 27th of October 2010 unless otherwise agreed to by Manager, Communications.
